How OTpilot works

Three steps. Nothing more.

From the first word to the signature — paperwork happens alongside, not afterwards. No double-documentation in the evening, no dictation mode, no new workflow.

Step 1

Record.

Your patient-care documentation is open on your device — smartphone, tablet or desktop, whatever you have. You press the microphone, OTpilot joins the patient consultation and transcribes live — your hands stay with the patient or on the measuring tape.

Your forms for patient care — your own PDF, not a generic template. You make adjustments in the OTpilot form studio directly — the separate Adobe Acrobat licence (~€20/month/seat) is no longer needed.
Multilingual — German is the standard. Additional languages (Polish, Russian, Turkish, English, French, etc.) are enabled on request and separately verified before use. The documentation itself is always produced in German.
Offline capture supported — as an installed web app, also without an internet connection, e.g. for hospital visits or field work. Processing runs automatically as soon as the device is back online.

If you prefer to dictate, you can — we don't stand in the way. But the dialogue with the patient is the strength that actually saves you time in everyday work.

Step 2

Review.

The same form — now with filled-in fields. Anything still open or required is flagged red by OTpilot. You click through, answer the open points by voice or keyboard — and confirm at the end, then OTpilot adds your answers.

Open fields flagged red — you see immediately where something is still missing or unclear.
Speak or type answers — confirm, OTpilot fills in your form and you move on.
Fields inside the original document — no second screen, no new format.
Patient consultation traceable — replay if anything is ambiguous, or briefly speak it again.

Step 3

Sign.

Before signing: mandatory confirmation that the AI data has been manually reviewed. Then two touch signatures — patient and staff, separately. After that the document goes the route you want.

Audit-proof with two signatures — patient and staff each sign in their own touch area.
Handover to any system — as a PDF or as structured data; we attach the integration guide for your ERP system.
